    Accessibility Policy

    1 PURPOSE

    DNA Genotek strives to meet the accessibility needs of persons with disabilities, as outlined in the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Regulation 191/11: Integrated Accessibility Standards Regulation (IASR).

    DNA Genotek works to remove barriers for persons with disabilities by:

    • Providing access to goods, services, and facilities in a way that respects the dignity and independence of persons with disabilities and integrates wherever possible.
    • Ensuring persons with disabilities are given an equal opportunity to obtain, use, or benefit from goods, services, and facilities.

    DNA Genotek also strives to create a workplace that is accessible and fosters equal opportunities for persons with disabilities to reach their full potential in employment.

    This policy outlines DNA Genotek's commitment to achieving accessibility related to goods, services, facilities, and employment, including meeting the requirements of the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Regulation 191/11: Integrated Accessibility Standards Regulation (IASR).

    2 SCOPE

    This policy applies to all full-time/part-time employees, contract employees, temporary employees, or consultants employed by DNA Genotek. For the remainder of this policy the term “employee” will cover each of these employment relationships.

    This policy also applies to job applicants, as well as those interacting with employees of DNA Genotek for the purposes of providing goods and services, such as customers and visitors.

    3 DEFINITIONS

    3.1 Barrier

    Refers to anything that prevents a person with a disability from fully participating in goods, services, facilities, or employment because of their disability. This includes:

    • A physical barrier
    • An architectural barrier
    • An information or communications barrier
    • An attitudinal barrier
    • A technological barrier
    • A policy or a practice

    3.2 Disability

    Means:

    • Any degree of physical disability, infirmity, malformation, or disfigurement caused by bodily injury, birth defect, or illness;
    • A condition of mental impairment or a developmental disability;
    • A learning disability, or a dysfunction in one or more processes involved in understanding or using symbols or spoken language;
    • A mental disorder; or
    • An injury or disability for which benefits were claimed or received under the insurance plan established under the Workplace Safety and Insurance Act, 1997.

    4 POLICY

    4.1 Our Commitment

    DNA Genotek is committed to building and preserving an accessible, welcoming, supportive, fair, and inclusive and equitable environment for all employees, customers, partners, or in any interaction between DNA Genotek and any interested party.

    In pursuit of this goal, DNA Genotek strives to ensure that our policies, procedures, systems and facilities are consistent with the core principles of accessibility legislation: dignity, independence, integration and equal opportunity.

    4.2 Accessible Formats and Communication Supports

    When communicating with a person with a disability, DNA Genotek will do so in a way that considers the person’s disability. Wherever possible, we will ask the person to determine the best method of communication.

    DNA Genotek informs job applicants, employees and the public about the availability of accessible formats and communication supports, and makes every reasonable effort to provide information in a format that meets the needs of the person making the request.

    4.3 Assistive Devices

    DNA Genotek strives to effectively serve persons with disabilities who use assistive devices. In the event that a personal assistive device is not permitted due to safety concerns, or structural limitations, an alternative method to fulfill the access need will be provided.

    4.4 Service Animals and Support Persons

    Persons with disabilities who are accompanied by a service animal may access DNA Genotek facilities. In the event that a service animal needs to be excluded from part of the premises due to safety concerns, an alternative method to fulfill the access need will be provided.

    DNA Genotek welcomes persons with disabilities who are accompanied by a support person, in order to help with communication, mobility, personal care, or medical needs or with access to goods, services, or facilities, except where the safety of a person is at risk.

    4.5 Notice of Temporary Disruptions

    DNA Genotek will notify our employees and customers in the event of a temporary disruption of service in our offices. The notice of disruption will include the reason for the disruption, the anticipated duration, and a description of alternate services or facilities if available. DNA Genotek will also outline the steps it is taking to address the temporary disruption and provide a copy of said notice to anyone in an accessible format upon request.

    4.6 Providing Feedback

    DNA Genotek welcomes feedback on how to better serve individuals with disabilities. Feedback may be provided to Human Resources (HR) via email, phone, or mail. DNA Genotek will review all feedback and respond as appropriate. If the nature of the feedback is a complaint, DNA Genotek will investigate the complaint within a reasonable timeframe and will communicate in writing the outcome to the complainant.

    4.7 Training

    DNA Genotek is committed to training all employees on Ontario’s accessibility legislation and to ensure that all those in customer service roles are trained to serve customers of all abilities. This training will include an overview of the support available to customers, individuals who come into contact with DNAG, job applicants, and employees with respect to accommodations.

    This training will be provided to new employees as soon as practical. DNA Genotek will train any current employees when there are any revisions to existing policies as soon as practical.

    4.8 Access to Information

    DNA Genotek will provide employees, customers, or any individual who comes in contact with DNA Genotek with requests for information in ways that are accessible upon request.

    Requests for information can be made through various communication methods such as email, phone, or mail. DNA Genotek will make every effort to make these communication options known and accommodate other options where possible upon request. DNA Genotek will engage all individuals in an effort to understand and address their needs to the best of DNA Genotek’s ability.

    4.9 Employment

    4.9.1 Recruitment

    DNA Genotek will advise all potential job applicants via our job postings that accommodations are available during the recruitment and hiring process.

    Should an applicant be selected for an interview, they will be advised that accommodations are available on request. When making an offer of employment, DNA Genotek will notify successful applicants that it has policies in place to support accessibility and to provide accommodations.

    4.9.2 Accommodation

    DNA Genotek will work with individuals requiring individualized accommodations in order to conduct their work, job duties, or responsibilities. This process is further outlined in DNA Genotek’s Accommodation Policy.

    4.9.3 Return to Work

    DNA Genotek will work with individuals returning to work following an absence due to a disability to ensure a smooth reintegration back to work. This process is defined in the DNA Genotek Leave and Disability Policy and the Return to Work Policy.

    4.9.4 Performance Management, Career Development and Advancement

    DNA Genotek will ensure that an individual’s accommodation needs are taken into consideration during the performance management process, as well as when considering any career development and advancement. DNA Genotek will proactively take steps to prevent any barriers from impacting an individual’s employment.

    4.9.5 Workplace Emergency Response Information

    DNA Genotek will provide individualized emergency response information as required to individuals that it becomes aware of are in need of individualized information as it relates to workplace emergency responses.

    Our Commitment

    DNA Genotek strives to meet the accessibility needs of persons with disabilities, as outlined in the Accessibility for Ontarians with Disabilities Act (AODA) and the Ontario Regulation 191/11: Integrated Accessibility Standards Regulation (IASR).

    This multi-year plan outlines the steps and action items that DNA Genotek has or will undertake in order to be compliant with the above requirements.
